CRM For AI docs

CRM For AI is a CRM you manage by talking to your AI assistant. It keeps contacts, companies, deals and a dated timeline of what happened, and shows tables, cards, a deals board and reports inside the conversation when you want to see them.

Getting started

  1. Add CRM For AI to your assistant. In ChatGPT or Claude, add it as a connector (step by step: ChatGPT, Claude, Claude Code, VS Code, Cursor and others). The server URL is https://mcp.crmfor.ai/mcp.
  2. Sign in once. Enter your email address; we send a one-time code. The first sign-in creates your account on the Free plan. On the consent screen choose Full access, or Connect read-only for an assistant that should only look things up.
  3. Start talking. Try “Add Priya Shah from Northwind, she's Head of Ops” or “Show my deals”. Your assistant picks the right tool; you never need to know tool names.

One account works in every assistant you connect. To disconnect an assistant, use your account page (Assistants) or remove the connector in the assistant.

Email examples require connecting your email account (for example Gmail or Outlook) to your AI assistant. CRM For AI never reads or sends email itself; your assistant reads your mail and records what you ask it to in CRM For AI.

Importing contacts

Say “import my contacts”. CRM For AI accepts CSV, TSV and Excel (.xlsx) files up to 25 MB, in UTF-8, UTF-16 or Excel's Windows encoding. There are three ways to get a file to it; your assistant uses the first one that works:

  1. Attach the file in the chat. Where your assistant passes attached files to connectors (ChatGPT does), the file goes straight to the import.
  2. Your assistant uploads it. An assistant that holds the file itself (for example one working on your computer) sends it to a one-time upload address.
  3. Use an upload link. Otherwise your assistant gives you a link to open on your phone or computer, where you choose the file. The link works for 30 minutes.

You can also paste rows (up to 200) into the chat or share a public link to a spreadsheet (for Google Sheets: File → Share → Publish to web → CSV). In assistants that show screens, the Import Wizard does all of this in one place.

Ask for a dry run first (the Import Wizard always shows one): you see how many contacts are new, updated, duplicates or invalid, and how the columns are mapped, before anything is written. A company column links existing companies or creates them. Choose whether existing contacts are skipped, updated or created again. You can undo an import for seven days. Uploaded files are deleted after a day.

Team seats

Invite people to your workspace as admins (manage settings and members), members (work with records) or viewers (read and export). Say “invite sam@example.com as a member”, or use the Members page on your account page. Each person signs in with their own email and connects their own assistant; if they belong to more than one workspace they pick one when connecting.

Every contact, company and deal has an owner (you, by default), so “show my deals” means yours, and the timeline records who did what. Removing someone ends their access at once; their records can be handed to someone else.

Seats: Free 1, Starter 2, Growth 5, Scale 15. A seat is a person or an open invitation, the owner included. There is no per-seat charge.

Message templates

Save messages you send often: “Save a template called ‘Follow-up’: Hi {{contact.first_name}}, thanks for your time today…”. Merge fields fill in from the contact, company or deal, with a fallback when a value is missing. Ask “write the follow-up for Ada” and CRM For AI returns the filled-in text; your assistant sends it with your own email connection and logs it on Ada's timeline. Templates are plain text or Markdown.

Reports and charts

Ask questions like “how is my pipeline?”, “deals won and lost this year”, “contacts by source” or “who haven't I contacted lately?”. CRM For AI computes the numbers on the server and returns a chart: bar, line or pie, or a single number when that is the answer. Ten ready reports cover the pipeline, won and lost deals, deals by owner, lost reasons, the forecast by close month, contacts added, contacts by status and source, time since last contact, and timeline activity. You can also group any records by their fields.

In assistants that show screens, the Reports screen lets you change the period, compare with the previous one, group differently, filter by owner, switch the chart type, and see every chart as a table. Values in different currencies are charted separately and never converted. Elsewhere, the same report arrives as a short text table.

Screens in the chat

In assistants that support MCP Apps (ChatGPT and Claude among them), ask to see a contacts table, a contact card, the deals board, the import wizard or a report. You can edit in place, drag deals between stages, and send a selection back to the chat. In assistants without screens, the same answers come as text. A dashboard is coming soon.

Only contacts count toward the plan's limit. At the limit, adding contacts pauses and everything else keeps working. Your assistant tells you when you reach 80 % and links to plan details; plans are bought on this website, never in the chat.

Export and deletion

  • Export contacts, companies, deals, notes or templates as CSV or JSON on any plan: “export my contacts as CSV”. Large exports arrive as a download link valid for 24 hours. The account owner can also request a full export (one ZIP, emailed link) from the account page.
  • Delete records: deleted contacts, companies, deals and notes go to a trash for 30 days, and “restore the contacts I deleted yesterday” brings them back.
  • Delete your account from the account page (Your data). Deletion happens 30 days after you ask, and you can cancel until then; any paid plan is cancelled, and every record, file, connection and member's access to the workspace is removed.

How email workflows work

CRM For AI has no access to any mailbox and never sends email to your contacts. When you ask your assistant to work your inbox, the assistant reads your mail through the email connection you added to it (for example Gmail or Outlook), decides what to record, and calls CRM For AI to create contacts, move deals or add timeline entries. Only what the assistant records reaches CRM For AI. To send, CRM For AI returns a segment or a filled-in template, and your assistant sends it with your email connection.

What CRM For AI never does

  • Read your mailbox, or send email, texts or any message to your contacts.
  • Show your records on a website: the account page shows plan, usage counts, members and connections only.
  • Sell your data, or use it to train AI models.
  • Put your records in a database shared with other customers.
  • Lock export behind a plan.

Please don't store payment card numbers, government IDs, health information, passwords or API keys in CRM For AI.
